Billing
Tutoring sessions are billed on an hourly basis, not per session. Charges begin to accrue at the scheduled session start time and end when the student is picked up. It is the responsibility of the parent or guardian to ensure their student is dropped off and picked up on time. If a student arrives late, charges will still begin at the scheduled session start time. If additional tutoring time is approved with verbal or written consent from the parent or guardian, or if the student is picked up late, the extra time will be billed at the applicable hourly rate.
Invoices will be sent to the primary contact phone number via text message at the beginning of each month. Payment is due in full upon receipt and will be considered late after a three-day grace period. Late payments will incur an additional $25 late fee.
In the case of a discrepancy or concern with an invoice, it is the responsibility of the parent or guardian to contact The OWL Initiative before the invoice grace period ends. This ensures that matters can be resolved in a timely manner and that future scheduled tutoring sessions are not affected.
Cancelation Policy
To ensure we can keep our pricing as low as possible and to protect the rights of our employees, we have implemented the following cancellation policy. In the event that a student is unable to attend or needs to modify the time or day of a tutoring session, it is the responsibility of the parent or guardian to inform The OWL Initiative of the absence. Students may not make this notification unless they are over 18 years of age. If a minor contacts us regarding the schedule adjustment or absence, we will be unable to grant the request.
There is no charge or penalty if a parent or guardian cancels or reschedules a session with at least 24 hours' notice. If a student is absent from a scheduled tutoring session without proper notice or communication from the parent or guardian, The OWL Initiative reserves the right to charge 100% of the scheduled session time at the agreed-upon hourly rate. Any charges for late cancellations or no-shows will be added to the monthly invoice.
Technology Policy
Studies have shown that a student's focus and ability to grasp new concepts are improved when phone usage is not present in the classroom. Therefore, The OWL Initiative enforces a strict no-cell-phone policy during tutoring sessions. Students will not be allowed to use their personal cell phones during these sessions, including for activities such as listening to music while working.
The OWL Initiative and its affiliates also reserve the right to collect a student's phone if they are using it unauthorized. Additionally, we will contact the parent or guardian if this refusal continues. If a student needs to contact their parent or guardian during the tutoring session, they may use the OWL Initiative's phone or request permission from the tutor to use their own phone to make a call. Cell phones will be returned to the student once the parent or guardian arrives to pick them up. The OWL Initiative is not responsible for the loss or damage of personal devices.
Privacy Policy
The OWL Initiative recognizes the importance of keeping the personal information we collect private and secure. We do not share any of your child’s or your personal information with other individuals, companies, or organizations unless we have received your consent or a direct request to do so. Personal information is kept secure under multistep security protocols.
If a parent or legal guardian wishes to release any personal information or records regarding their child, they must complete a Personal Information Disclosure Form provided by an OWL employee and return it to The OWL Initiative via email, mail, or by submitting it in person to our office. Please allow five (5) business days for us to process your request upon receipt of the disclosure form.
Rules and Regulations
Students will respect the space and property of others, as well as The OWL Initiative office. Any damage to someone else's personal property or the property of The OWL Initiative will become the responsibility of the parent or legal guardian of the party responsible for the damage. All damaged property must be repaired or replaced by the responsible party within 10 days of the incident. If this is not done, the value of the damaged property will be added to that month's invoice as a separate line item, labeled: Damaged Property Fee. Students will not take anything that does not belong to them without permission. Theft of any kind is unacceptable. Students will not intentionally cause any individual or group to feel harassed, bullied, taunted, or excluded.
If a student violates any of the above rules and regulations set forth by The OWL Initiative, we reserve the right to cancel all tutoring services and any agreements, effective immediately. In such cases, a final invoice will be sent via text message to the parent or guardian and is due upon receipt.
